How to Volunteer
Without volunteers the band doesn’t attend football games or go to contests. YOU are a vital part of your child’s band experience.
We encourage you to volunteer in any way you can. Anyone volunteering directly with students (game days, trip chapperone) MUST complete a Plano ISD volunteer application.

There are two steps to volunteer:
- After July 1 every year, please complete the PISD volunteer application (https://oea.pisd.edu/volunteer/EntryPointHomeAction.do)
- Sign up to volunteer via Membership Toolkit (https://sheptonband.membershiptoolkit.com/home)
Parents are requested to sign up for four volunteer opportunities during the year. Additionally, all families are asked to serve one shift (1 hour) for the band’s major Spaghetti Dinner/Silent Auction fundraiser.
Football Games (6) and Marching Contests (2)
CHAPERONE
Chaperones will ride the bus. Arrive at the Shepton band hall at 5 pm to receive instructions and get bus assignments. Buses will leave by 5:30 pm. Various duties in the stands during game. Return on the buses with students, arriving at Shepton as late as 11 pm.
PIT CREW
Meet us at the stadium at game time/contest time. Help band setup and take down halftime show. Unload/roll equipment across the parking lot to an area near the field. With 3 minutes on the game clock to halftime, come back to the field to roll everything to the sidelines. You will receive a volunteer badge and get into the game for free. Sign up for a date that works for you.
GAME DAY MEALS
Game day meals team serve meals to students on game days (roughly 3:30 – 5 pm) under direction of Meal Coordinator. Members of the serving team will coordinate their schedules to make sure all events get covered. You need not be available for every event to participate.
WATER TEAM
Water team members get water bottles iced and ready for transport on game days. Meet at the school around 1:30 pm and fill coolers to load on the trucks with the instruments. Team members will coordinate their schedules to make sure all events get covered. You need not be available for every event to participate.
Plano Holiday Parade
CHAPERONES
Chaperones ride the buses to parade start, walk the parade route with band, and return to Shepton on buses. Usually the second Saturday in December (morning).
Uniforms
UNIFORM FITTING DAY
Help the Uniform Coordinator size students for marching shoes and gloves, fit uniforms and hats, or bag/check out. Second Saturday in August, 2-hour shifts.
UNIFORM TEAM
Work with Uniform Coordinator during band camp (mornings) to prepare for Fitting Day. Measure/fit remaining students on alternate days/evenings during band camp. Help with uniform item distribution. Need ability to work short shifts during school hours.
UNIFORM COLLECTION DAY
Help collect uniforms after holiday parade in December. Approximately 2 hours.
Photography/Video
PHOTOGRAPHERS
Take still pictures of band events and coordinate with directors to post/use them. This team will coordinate their schedules to cover all events. Not necessary to be available for every event. Check out of SmugMug photo site!
VIDEO TEAM
Take videos of band show at football games and dress rehearsals in the fall (band provides camera). This team will coordinate their schedules to cover every needed event. Not necessary to be available for every event.
Spirit/Hospitality
SPIRIT WEAR
Plan student and parent spirit wear. Identify useful items, work with multiple vendors to create items, and disburse orders (mostly July – September).
ICE CREAM SOCIAL
Setup, serve, and cleanup ice cream social at the beginning of the season (evening), after we see what our kids have learned and they try to teach US how to march!
CHAPERONE POOL PARTY/AFTER STARLIGHT CONCERT
Join parent volunteers from Plano West and Jasper bands to supervise pool party at Tom Muehlenbeck Center following the Starlight Concert (last day of summer band camp – evening).
BAND BANQUET
Work with Banquet Coordinator to plan and execute the year end banquet at off-site location (late May, evening event). Includes invitations, work with event site catering, decorations, ticket sales, and check-in for guests at the event.
Fundraising
SPAGHETTI DINNER PLANNING TEAM
Work with Dinner Coordinator to plan and execute spaghetti dinner event in early November for Shepton, Renner and Frankford. Includes ticket sales and distribution to middle schools, coordination with Shepton food services, and work with outside caterer.
SILENT AUCTION PLANNING TEAM
Help Auction Coordinator with soliciting businesses and planning silent auction (major fundraiser) in early November.
DESSERT THEATER TEAM
Plan and execute Spring fundraiser for the band held at the school in advance of the Solo & Ensemble Contest (February). Ensembles perform throughout the evening; tickets are sold at the door. Various team members will: plan desserts, set up, sell tickets, serve food at the event, or assist with tear down.
Administrative
WEBSITE MANAGER
Maintains and updates website. Posts calendars, pictures, information as needed.
TOOLKIT MANAGER
Maintains and updates Membership Toolkit website for registration (June – August).
